How To Conduct Advanced Search in QuickBooks Online
This article addresses how to conduct an Advanced Search in QuickBooks Online.
QuickBooks Online has excellent Search and Recent History features that allow a user to efficiently locate:
- Audit history of a particular already-entered transaction.
- Very recent history of transactions just posted.
- Advanced Search function to locate just about anything.
Let’s explore the Advanced Search function in QuickBooks Online. So, to begin:
- Click on the magnifying glass in the upper right-hand corner.
- Now, from within the pop-up that opens: Click on the “Advanced Search” link at the bottom right-hand side.
The Search function that opens contains various, but common, filter choices:
- Type of transaction
- Field within the chosen transaction
- Range of search (Contains, Equals, etc.)
So, let’s conduct a sample search now:
- Type of transaction = “All Transactions”
- Field = “Amount (Line or Total)”
- Range = “Equals”
- Enter the exact dollar amount you will be searching for.
- Now click on the green Search button.
What should result is all transactions in QBO with your chosen dollar amount (Line or Total).
Please Note: If your search results are blank, be sure you review the Date Filter that QuickBooks Online automatically sets. This Date Filter should now be viewable once your search results appear. To be safe, perhaps set your date filter to include everything from within the entire history of your company and click on Search again.
