This article addresses how to access a vendor’s purchase order history within NetSuite.
Perhaps you received a new bill from a vendor, but before you can pay it, you want to be sure there was indeed:
- An existing purchase order.
- If the items billed were also indeed received as well.
- If all of the specific items listed on the new bill match specifically what is on the purchase order, including the pricing as well.
This is all rather simple to do within NetSuite. This may be especially helpful if you are utilizing a 3rd party bill pay software, such as bill.com, to submit vendor bill payments. Typically, bill.com will be integrated with your accounting software where the purchase orders reside.
So, let’s get started.
Our scenario is that you received a new bill from a vendor (for supplies ordered) and thus, you must first verify that the supplies were indeed received and at the same prices as to what you requisitioned for.
There are different ways to accomplish this task in NetSuite, but here is one efficient method:
- Login to NetSuite and go to the Home page.
- Click on Vendors Overview from the menu bar at the top.
- Scroll down to about half way and on the left side, within the Quick Search area, type in the vendor name (within the Search field) and hit “Enter” on your keyboard or just click on the Search button.
- Find your vendor name in the list that pops up and click on the vendor name.
- Scroll down about half way and click on “Purchase History” within the menu bar in the middle of the screen (slightly towards the right side).
- Now you will see a list of all of the recent purchase orders and the Status of these purchase orders (Pending Bill, Fully Billed, Pending Receipt, etc).
- Click on the purchase order you are wanting to compare the new vendor bill to.
