Convert PDF Transactions to Spreadsheet for Import into QuickBooks

This article addresses the issue of conveniently importing credit card transactions into your QuickBooks company file, but from a PDF type of file.

Sometimes (for whatever reasons), you may not be able to obtain a convenient spreadsheet download (or from a bank feeds connection) of your credit card transactions, but instead are able to obtain a PDF file download of these transactions.

QuickBooks does not have the capability to read PDF files for transaction importation purposes. However, if you have the right software on your office computer, you may be able to work around this issue.

The software that will be needed is:

  • PDF software that can convert your PDF file into a slide presentation(PowerPoint) type of file. (Note: This is only needed if you unsuccessful of converting a PDF directly to a spreadsheet)
  • Spreadsheet software (such as Excel).

So, to begin,

  1. Open your credit card statement PDF file.
  2. Now, if your PDF software does have this capability, you need to “Convert” this PDF file into an MS PowerPoint type of file (Again, only utilize this step if conversion directly to a spreadsheet was unsuccessful).
  3. Once this conversion process is complete, open a separate blank spreadsheet worksheet (such as MS Excel).
  4. Now, if your slide presentation software has this capability (PowerPoint does), use your mouse cursor to highlight the credit card transactions and copy these (copy the date, memo and amount in the entire line of each transaction); you should be able to copy a large group of transactions at a time.
  5. Now go to your opened spreadsheet and paste these transactions into here.
  6. Now, from this spreadsheet, you can prepare these transactions into a proper importable format for your QuickBooks Online company file.

Please Note: This entire process is a not a guarantee to work for all instances, but if you practice this method, you may be able to cut significant bookkeeping time away from the process of manually posting transactions one at a time into your bookkeeping (QuickBooks) software when other modern methods are simply not available.
