Create Unpaid Bills Report with Purchase Order Number in QuickBooks
This article addresses how to create a customized Unpaid Bills with Purchase Order number report in QuickBooks Online.
This report is simply a clear and convenient way to view all of the current vendor Unpaid Bills with the associated Purchase Order number (if you are using purchase orders in your bookkeeping system in QBO).
So, to begin:
- Go to the Reports section in your QuickBooks Online company file.
- In the search bar, type in “Unpaid Bills” and click on that report.
- At the top of this report, you will need to specify some column options:
- First, set your dates (perhaps include all dates so nothing gets left out accidentally).
- Now click on “Customize” at the top and then choose “Change Columns” and choose your options:
- Date
- Transaction Type
- Number (which is the bill number)
- Due Date
- Open Balance (I personally exclude the “Amount” column so as not to accidentally confuse the original billed amount to what the remaining open balance is).
- Memo/Description (this field is important as this is where the purchase order number will show, HOWEVER, within each vendor bill, be sure to type in the purchase order number in the Memo field at the very bottom of that bill, that way this field will show up in your customized report you are creating here).
- Click on Run Report to be sure you have the most up to date data here.
- Important: Be sure to save your customized report by clicking on “Save Customization” at the top.
