Create Accountant’s Copy File within QuickBooks Desktop
This article addresses how to create an Accountant’s Copy of your QuickBooks Desktop file with the goal of sending to your CPA.
Creating an Accountant’s copy will create a type of file known as a QuickBooks Accountant Transfer File (.QBX).
The purpose of this file type is for your CPA to restore, post changes, then return back to you to incorporate back into your main QuickBooks Desktop (.QBW) file.
Side Note: Your CPA will return a different file type back to you known as a QuickBooks Accountant Change File (.QBY).
So, let’s get started on creating that QuickBooks Accountant Transfer File (.QBX):
- Within your QuickBooks Desktop file: Click on File to open up that drop-down menu
- Hover the screen cursor over “Send Company File”, then, Accountant’s copy, then, Save File.
- Side Note: This article does not address how to “Send to Accountant”. We are merely just creating this file here.
- Confirm “Accountant’s Copy” is chosen then click Next.
- Choose the Dividing Date and click Next.
- Side Note: For more information regarding the Dividing Date, please see my article entitled “Accountant’s Copy File in QuickBooks Desktop” within the Bookkeeping Advice tab.
- Choose a folder to store your new QBY file and click on Save.
